The **Programme Administration Manager** plays a pivotal role in ensuring the smooth and effective delivery of the Foundation’s activities. We’re a small, ambitious Foundation with big plans—and we’re looking for someone who wants to help us make them real. This is not a “standard admin role.” It’s for someone who thrives in a dynamic, purpose-driven environment, who enjoys bringing clarity and structure while working with passionate, volunteer-driven teams across the globe. You’ll help power our programmes, connect stakeholders, and keep momentum going as we grow our impact—expanding education opportunities and helping charities benefit from the unique skills of the insights community. What you'll do
**Programme Administration**
* **Programme coordination** — Support the day‑to‑day administration of Foundation programmes and activities * **Project oversight** — Maintain visibility of timelines, deliverables, and communications * **Board support** — Coordinate with Board members to facilitate programme execution
**Donor & Stakeholder Engagement**
* **Donor liaison** — Maintain strong, professional relationships with individual and corporate donors * **Communications management** — Ensure timely acknowledgements, updates, and tailored communications * **Content distribution** — Share Board‑approved updates, videos, and impact materials
**Recipient Coordination**
* **Beneficiary support** — Serve as a key point of contact for students and charitable organisations * **Guidance & communication** — Provide timely information, support materials, and clear instructions * **Interaction tracking** — Monitor engagement to ensure consistency and quality
**Data & Systems Management**
* **Record management** — Maintain accurate donor, recipient, and programme records * **Database collaboration** — Work with the Foundation’s database manager to ensure data integrity * **Reporting support** — Assist with reporting using available systems and tools
**Process Improvement**
* **Workflow optimisation** — Identify opportunities to streamline administrative processes * **Digital tools** — Use AI and digital tools to enhance efficiency and scalability * **Experience enhancement** — Contribute ideas to improve stakeholder experience and programme delivery
What you'll bring
* **Organisational excellence** with strong administrative capability * Ability to work **independently** and manage time effectively in a part‑time role * **Strong communication** — excellent written and verbal skills * Proficiency in **Microsoft Office** (Word, Excel, PowerPoint, Outlook) * Experience with **databases and/or CRM systems** * High **attention to detail** and reliable follow‑through
Nice to have
* Experience in the **non**‑**profit or charitable sector** * Experience working with **donors, sponsors, or stakeholder networks** * Familiarity with **AI**‑**enabled tools** for administrative efficiency

What's on offer
* **Part**‑**time:** 2 days per week (flexible scheduling) * **Location:** Primarily remote, with occasional interaction aligned to the Amsterdam office * **Contract:** 12‑month fixed term, with potential for extension * **Reporting to:** Esomar Foundation Board
